The privacy and security of your personal information is extremely important to us.
Any reference to the Hertfordshire Building Futures Partnership, ‘we’, ‘our’ or ‘us’ refer to:
- Hertfordshire County Council, who is the Data Controller for this information.
When we work with other organisations or individuals, we always set up a written contract with them to protect your data. An example of when your data may be passed to a third party is when public relations support is procured, to support the biennial Building Futures Awards covering promotional activities relating to generating entries. The third parties we work with at no point ‘own’ your data and they will always delete your data from their systems when the award programme is completed.
Why do we collect personal data?
We will only ever collect, store or use your data when we have an identified purpose and reason to do so.
Some of these reasons might be:
- To process your data under the legitimate interests condition - allowing us to assist local builders and architects by operating the Building Futures partnership and its activities including the Awards, the Design Toolkit and the work of the review panel.
- To send you information about the Building Futures initiative, concerning the Sustainable Design Toolkit, the Hertfordshire Design Review Panel and the Building Futures Awards. This communication is via the Building Futures e-newsletter.
Where requests are made for Design Review or an application is made to the Building Futures Awards, your contact details are added to the Building Futures e-newsletter distribution list to help keep you informed of relevant information on the service you have engaged with. If you wish to withdraw consent at any time you can do so by contacting us at email@example.com or unsubscribing using the Building Futures e-newsletter.
What we do with your information
The information you give us will be held by the Natural, Historic & Built Environment Team, Sustainable Growth department of Hertfordshire County Council and will only be used in relation to activities of the Building Futures initiative and the service you requested.
The information we collect includes:
- Name of organisation
- Physical address
- Email address
- Phone number
This information is gathered and is processed on the basis that you are giving consent for us to do so. If you wish to withdraw consent at any time you can do so by contacting us at firstname.lastname@example.org or unsubscribing using the Building Futures e-newsletter.
How long we will keep your information
We will only keep personal data for the amount of time necessary to fulfil your request or for the amount of time that we are providing you with the service you want. Therefore once a design review panel has been completed, your pro forma will be deleted, together with all email correspondence. Supporting information, such as plans and documents will be kept for 2 years, after which they will be deleted/ destroyed.
Award application forms will be kept for 2 years, after which they will be deleted/destroyed.
The Building Futures e-newsletter
The Building Futures website can be used to sign up to our e-newsletter. Submitting your data will generate an email used to populate our distribution list. Our distribution list is securely stored on our database.
If you are on our e-newsletter distribution list, we will keep your name, email address and the name of your organisation securely on our database. You can unsubscribe at any time, and we will remove your details.
Like many other websites, we place small information files called ‘cookies’ on your computer. These help us to improve your on-line experience. Learn more about the cookies we use.
What are your rights?
- You have the right to be informed about what information we hold about you and how we use it.
- You have the right to request copies of any information the Council holds about you by making a subject access request.
- If information we hold about you is factually inaccurate you have the right to have it corrected.
- You have the right to object to the way we are using your data.
- You have the right to request that your data is deleted. However we may be unable to delete your data if there is a need for us to keep it. In this case you will receive an explanation of why we need to keep the data.
- You can also request that we stop using your data while we consider a request to have it corrected or deleted. There may be some circumstances in which we are unable to do this however we will provide an explanation if this is the case.
- In certain circumstances you may also request data we hold about you in a format that allows it to be transferred to another organisation.
- In the event that decisions are taken using automated processes you have the right to request that these decisions are reviewed by a member of staff and to challenge these decisions.
If you would like to request copies of your data, request that your data is deleted or have any other queries in relation to data which the Council holds about you please contact the Data Protection Team.
If you are unhappy with the way that Hertfordshire County Council has used your data or with the way we have responded to a request you also have the right to contact the Information Commissioner’s Office.
