In most cases, you can talk to the SENCo at your child or young person's school about their EHCP. SENCos have regular contact with EHC Coordinators at the council and should be able to answer any questions.

For very young children, those who are not at school, and those in college, you can speak to an EHC Coordinator in the relevant team.

Children and young people requesting an EHC Needs Assessment

Contact your SENCo (if you have one) in the first instance if you have any questions. 

Front Door and Assessment Team

When you request an EHC needs assessment, you will be given a named Child Information Advice Officer (CIAO) who will be your contact for information-gathering at that stage. Your CIAO will make contact with you once your EHC needs assessment request has been received and will be responsible for co-ordinating all of the information ahead of the assessment. 

If an EHC needs assessment is agreed, your CIAO will contact the agreed services to request information and advice. Your CIAO will continue to be your point of contact until all information and advice has been received.  Once received, you will be given a named EHC Coordinator who will then be your contact for the rest of the assessment process.

Children and young people who already have an EHCP

Once your child or young person's EHCP has been agreed and finalised, an EHC Coordinator will be allocated. The EHC Coordinator will work in one of several different teams at the council, depending on your child or young person's circumstances. 

Children aged 0-5 (Early Years)

If your child attends a pre-school or nursery, you can first direct any queries about their EHCP to the SENCo there.  

EHCPs for children aged 0 - 5 are managed by the Early Years Service. This is a specialised educational service designed to support children before they enter Year 1 of school.

If your child is not in a nursery or pre-school, you can call the Early Years Duty Line on 01442 453300 to find out who your EHC Coordinator is. You can also contact them by email at EarlyYearsStatutorySend@hertfordshire.gov.uk.

School-aged children ages 5-16 (and ages 16 - 19 at sixth form)

If your child is currently in school, or at sixth form, they will be allocated an EHC Coordinator from the School Age SEND Team.

If a child or young person is in care, their EHC Coordinator will be in the Virtual School team (see below for more info). 

Young people who are aged 16+ and attending college

If your young person is aged 16+ and attending a college, they will be given a named EHC Coordinator from the Services for Young People team.  To find out who your EHCCo is, contact SfYPEHCPReviews@hertfordshire.gov.uk and your email will be forwarded to the correct person.   

For any general queries, you can call the customer service centre on 01442 453300. They will be able to direct your call. 

Children in care

The Virtual School Service is a dedicated educational service that supports the unique needs of Children Looked After.

They manage EHCPs for these children and young people.

You can contact the team or find out who the EHC Coordinator is for a child or young person in care at CLASENDprovision@hertfordshire.gov.uk.

School Age children and young people who are not on roll at a school (including electively home educated, EOTAS, and interim provision)

This team looks after the EHCPs of children and young people who:

  • are Missing in Education
  • Electively Home Educated
  • have been agreed as Education Other Than at School (EOTAS), unless they are a Child Looked After (CLA).

What if I don't hear back from my Provision or EHC Coordinator or I am unhappy with the response?

EHC Coordinators and Provision Coordinators aim to respond to emails within 10 working days. Please do not send chaser emails or escalate to others in the team within 10 working days.

Your Provision or EHC Coordinator is the best person to work with you to resolve an issue in the first instance.

1. If you are not happy with a response, or have not had a response within 10 working days

You can escalate the issue to the Team Lead, who should provide a response within 4 working days. Team Lead details are listed below.

2. If your concern has still not been addressed by the Team Lead

Escalate your issue again to a Senior Manager. You should expect to hear back within 2 working days.
